Position Available: Office Administrator

IPH Mist Suppression are looking for an Office Administrator with previous Admin experience. The right candidate would be proactive, organised, and hard-working and will have previously worked within a SME Environment.

The Office Administrator will be expected to liaise with clients, customers, and engineers. You will also be able to perform admin duties and you’ll be experienced in the use of Microsoft tools (Word, Excel, Outlook, Adobe) Experience within a similar position in the Fire Suppression industry will be a distinct advantage however this is not essential.

The ideal candidate will have good organisational skills and a good telephone manner, alongside proficient experience with Microsoft Office Suite. Strong customer service skills and problem-solving ability is essential.

Salary: £18,000 – £20,000pa

Responsibilities:

  • Answering the phones
  • Communicating with engineers
  • Sending Purchase Orders to Suppliers/ Monitoring Delivery
  • Booking Accommodation/ Ferry’s/Flights for Engineers
  • Maintain the day to day requirements for running the office
  • Be the point of contact for a range of suppliers including IT, Insurance, Products
  • Manage stationery and office supplies
  • Keep office and kitchen tidy, with the wider team
  • Deal with enquiries via email and phone and welcome guests to the office
  • Prepare letters, project packs and reports
  • Suggest improvements to processes as appropriate
  • Database Housekeeping
  • Data Inputting on Xero
  • Ad-hoc administrative tasks as required by other team members
  • Document Control

Essentials:

  • Previous office management experience;
  • Outstanding organisation skills;
  • IT proficient (Word, Excel, Outlook)
  • Strong attention to detail;
  • Flexibility and an adaptable approach to work;
  • Good written and oral skills;

  • Experience using Simpro Job management Software
